Working with Access views You work with database objects in a variety of views. In later chapters, you study examples of how to work with forms and reports in Design view and Layout view. In Design view and Layout view, you can add command buttons, list boxes, and other controls to a form. For reports, you can use these views to apply formatting, group records, add calculated fields, and complete other tasks. When you define fields and properties for a table, you generally work in table Design view.

Info 40 Chapter 1 Create and manage databases Tip The Print Preview tab also provides a set of options (in the Data group) for exporting data to other programs or in various formats. These options are described in the “Export ing data” topic later in this section. When you design and format a report in Design view or Layout view, the Page Setup tab (under Report Design Tools or Report Layout Tools) provides many of the commands also available on the Print Preview tab. You can use the Page Setup tab options as you work with the report to define margins and page orientation and to make other settings related to printing the report.

You can use a single field (for example, a unique product or customer code, or an ID field that is set to the AutoNumber data type that Access provides) or a combination of fields as a table’s primary key. A multifield primary key is called a composite key. For an AutoNumber field, Access assigns a unique number to each record in a table, so you don’t need to keep track of values that might be duplicates. If you don’t use the AutoNumber data type but instead use a field whose value you enter, be sure that you set the field’s Required property to Yes and that you use a field or a combination of fields whose values change infrequently or not at all.
